The Z. Smith Reynolds Foundation’s new emerging direction has developed from our long and rich history of investments in North Carolina and our commitment to responding to the state’s changes, the yearlong strategic assessment and planning process we embarked on to understand the changing landscape of North Carolina, and what we heard from North Carolinians throughout this journey. Our emerging direction will continue to evolve over the coming 12 to 18 months as we further design and develop each of its components.

Given that ZSR’s emerging direction will take 12 to 18 months to be fully developed and implemented, our upcoming fall 2017 grant cycle will mark the beginning of the Foundation’s transition and will be the last grant cycle based on our current focus area descriptions. Therefore, ZSR Trustees have made the decision that ZSR’s fall 2017 grant cycle will be closed and by invitation-only. We will not have a traditional spring 2018 grant cycle in order to focus on the design and implementation of ZSR’s emerging direction.

In an effort to streamline our requirements and reporting process, the Z. Smith Reynolds Foundation has transitioned from requiring grantees to download paper documents from our website to completing and submitting forms through an online system.

Please do not mail in copies of the signed Grantees Acceptance Forms or email them to our Program Officers. We will only accept these documents through our online system.

ZSR Online Reporting Requirements Guide For Grantees

As a guide for the grantee, below is a list of the reporting requirements that we require. The required form(s) will be placed in the grantee’s online account. (NOTE:  Review the “Grant Resolution” section of your Grantees Acceptance and Understanding Form to determine if any stipulations have been placed on your grant.)   

ZSR WILL ONLY ACCEPT THE REQUIREMENT FORMS THROUGH OUR ONLINE SYSTEM.

DO NOT MAIL OR EMAIL THESE FORMS TO THE FOUNDATION.

Additional Requested Information Form – After the grant application has been submitted and reviewed by support staff, any missing and/or incomplete information that was not submitted with the application will be submitted by the applicant through this form. 
 
**Grants Awarded May 2017**
 
The grantee shall receive the Grant Award Notification Email approximately three to four weeks after the ZSR Board of Trustees meet. At or about the same time, the award notification is emailed, the Request for Payment Form and the Grantees Acceptance and Understanding form (the contract between the Foundation and grantee) will be placed in the grantee’s online account. The earliest grant funds will be made available is July 2017 (unless otherwise stated in the resolution).  Thirty days (30) prior to needing funds, the grantee shall submit the Request for Payment Form AND submit the Grantees Acceptance and Understanding Form separately. The Request for Payment Form and Grantees Acceptance and Understanding Form are only submitted once for the duration of the grant. A sample of each is listed below.

Matching Grant Form – If the grant resolution requires a match(s), the grantee has up to 18 months to obtain the matching funds and submit the form.
 
Diversity Plan Form – If the grant resolution requires a diversity plan to be submitted, the Diversity Plan Form must be submitted online after the Request for Payment Form has been submitted.

Interim Report Form – Strategic Grant (Multi-Year- ONLY) – If a strategic grant has been made for more than 12 months, an interim report is required to be submitted eleven (11) months after each payment has been made to the grantee.
 
Final Report Form for Small Grant – Fifteen (15) months after the last payment has been disbursed to the grantee, the Final Report Form for Small Grant is due and should be submitted online.
 
Final Report Form for Strategic Grant – Fifteen (15) months after the last payment has been disbursed to the grantee, the Final Report Form for Strategic Grant is due and should be submitted online.
 
Progress Report Form for Small Grant – If a grantee has any active grants when submitting a new application, after the grantee submits the new application and the application has been reviewed by support staff, the progress report is placed in the grantee’s online account and will be submitted on the date provided.
 
Progress Report Form for Strategic Grant – If a grantee has any active grants when submitting a new application, after the grantee submits the new application and the application has been reviewed by support staff, the progress report is placed in the grantee’s online account and will be submitted on the date provided.

Grant Extension Form – Under certain circumstances, a grantee may need more time to complete the grant.  The grantee should contact the Foundation. The Grant Extension Form will then be placed in the Grantee’s online account. Once the grantee has submitted, the Foundation will review and notify the grantee if the extension was granted.
